Privacy policy

Vilwave is based in Johannesburg, South Africa. This policy covers vilwave.com, the contact form, and job applications.

1. We treat personal information carefully and only for a lawful reason.
2. Personal information is anything that identifies you, or could identify you when combined with other data we hold — for example your name with an email address, phone number, or LinkedIn profile.
3. It also includes information that identifies a company, such as a trading name with a registration number, when you write to us as a business.
4. Special personal information (race, health, biometrics, alleged criminal behaviour, and similar categories in POPIA) is not something this website asks for. We will not process it unless the law allows it.
5. You may give us information in writing, by email, or on this site. That includes the contact form and the careers form (name, email, phone, city, experience, LinkedIn URL, and a Google Drive or OneDrive link to a CV).
6. Processing includes collecting, using, storing, retrieving, sharing with a processor who needs it to deliver the service, and deleting. We process what you submit so we can reply, consider an application, or run an engagement you have asked for.
7. We collect information for the reason you provided it, or because a law, regulator, court, or similar authority requires it.
8. We may also process information where it is necessary to protect your or Vilwave’s legitimate interests, in line with POPIA.
9. We do not collect personal information we do not need.
10. Some fields on the contact and apply forms are required. If you do not provide them, we cannot send the message or consider the application.
11. We usually collect information from you directly. We may look at a LinkedIn URL or a Drive/OneDrive file you chose to share. We do not ask you to paste arbitrary file-sharing links, and we do not treat random URLs from applicants as something the team must open.
12. Messages from the website are delivered through EmailJS to Vilwave’s Outlook mailbox at info@vilwave.com. Microsoft hosts that mailbox. If you share a CV on Google Drive or OneDrive, Google or Microsoft hosts the file until we download or review it for the role. We do not sell applicant or enquiry data.
13. We share personal information only with people and processors who need it for those purposes, or where the law requires it. We do not share it with third parties who have no reason to see it.
14. If we use a processor outside South Africa, we do so only where the operator is under a contract or a law that gives comparable protection, or where POPIA otherwise allows the transfer.
15. You may ask us what we hold, ask us to correct it, object to processing, or ask us to delete it, in writing to info@vilwave.com. We may have to keep some records for a retention period the law requires. If we cannot do the work without the information, we will say so.
16. Complaints about how we collected or used your information should go first to info@vilwave.com. If that is not resolved, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.
17. We may update this policy. The current version on this page replaces earlier versions. The date at the top is when it was last reviewed.
